Accra: Management of the Kadjebi District Assembly has been cautioned to thoroughly scrutinise minutes of Assembly meetings before publication to prevent errors, omissions and inaccuracies. Mr Anthony K. Ahiable, Presiding Member (PM) of the Assembly, gave the caution after identifying errors in the minutes of the First Ordinary General Assembly Meeting during the Second Ordinary General Assembly Meeting of the Third Session of the Kadjebi District Assembly in the Oti Region.
According to Ghana News Agency, Mr Ahiable emphasized the importance of Assembly minutes as official documents that serve as records of proceedings, decisions, and resolutions. He stressed the need for careful review of these documents before publication to avoid potential issues. He pointed out that errors and omissions could result in the loss of vital information necessary for future reference and decision-making, while inaccuracies could lead to confusion and affect the proper documentation of discussed issues and decisions taken.
Mr Ahiable urged the management, led by Mr Innocent Komla Gavua, District Coordinating Director (DCD), to implement measures ensuring that minutes undergo proper scrutiny and corrections before circulation or publication. He highlighted that careful scrutiny would help maintain accurate institutional records and preserve important information for the Assembly and future administrations. Mr Ahiable also appealed to the officers responsible for recording and preparing the minutes to pay close attention to details and ensure that contributions, resolutions, and other relevant matters are accurately captured.
Mr Gavua acknowledged the omissions identified in the minutes and apologized for them. He assured members that steps would be taken to prevent similar occurrences in the future. He stated that management would take the concerns seriously and ensure that Assembly minutes are thoroughly reviewed before publication.
